How to complete your registration application

Step one: Complete the information required to apply for registration with UNHCR and upload your documents.   

  • Personal information: You can either upload or take a photo of your passport for it to be scanned or you can enter your personal details, including your name, date of birth, where you are from, sex, and marital status.  You will need to add your name in English on a separate line if you are using the portal in a different language. Fields marked with a red “required” must be filled in. If you leave these blank, you will not be able to continue. 
  • Address and arrival date: Enter your address in your home country, your current address in Indonesia and your arrival date.
  • How to contact you:
    • E-mail address: Already filled, cannot be changed
    • Registered phone number: This number is the one you added when you created your account.
    • Contact me by SMS: You can tick the box if you would like to be contacted by SMS.
    • Contact me on WhatsApp: You can tick the box if you would like to be contacted by WhatsApp and provide your number.
    • Preferred language: Select from available languages.
  • Additional information: Enter information on any specific needs you may have. This is something optional. 
  • Photo: Take a photo of your face / “selfie” using the button on the screen or upload a photo of your face you already have. The photo should be of good quality, similar to a passport photo (Please see below for more the guidance).   
  • Documents: You can also upload a copy of your passport and national identification document, or any other identity document you may have in your possession. Please only upload your identity documents. Your family members’ documents will be entered when you add your family members to your application.

When uploading your photo, make sure that:

  • All of your face is visible in the photo.
  • You have your eyes open and look into the camera.
  • You are not wearing any hats or glasses (headscarves are allowed).
  • The photo is not blurred.
  • Your face is in the light.
  • There is a plain background to your photo.

Tip: If you try to take a photo but nothing happens when you click the button, check your phone settings. You may have to change your permissions so the application can access the camera.

Step two: Add your family members   

Only your close family members currently with you in Indonesia can be included on your application for a registration appointment. 

Family members may include your children, spouse, or elderly family members who are dependent on you.     You will have to provide the same information you provided about yourself for all family members you wish to register with you, including their ID documents and photos. We recommend that they are with you while you complete their information.

Step Three: Review your application before submitting it to UNHCR  

  • Click on ‘My Profile’ to review your personal information, contact details, and photograph.  
  • Click on ‘My Documents’ to review the documents you uploaded for yourself.  
  • Click on ‘My Family’ to review the personal information, photograph and documents you uploaded for your family members.  

Step Four: Submit your registration application to UNHCR  

  • Once you are happy the information, photographs and documents in your application are correct, click on ‘Submit My Application.  
  • Note that once you submit your application, you will not be able to change your personal. information. You can only add additional documents and update your communication information.  

Step Five: You have successfully submitted your application. What is next?  

  • Take note of your temporary UNHCR ID number for future communication with UNHCR. You can also find this reference number in the ‘Home’ page.   
  • The status of your registration application when you submit is “Pending registration.” You can check the status of your application in the ‘Home’ page or check the ‘My Appointments’ page to see the date, time and location of the appointment UNHCR sets for you once your application is reviewed.  
  • You will receive a notification to your e-mail address once your appointment is scheduled and UNHCR will contact you with further information.  
  • UNHCR will aim to contact you with an update within two weeks; however, please note that this does not mean your interview will take place within two weeks. Due to the high volume of requests, it may be several months before your interview is scheduled. 

How long does it take to fill in a new registration application on the My Services portal?

We estimate that it can take 10 minutes per person to complete the process, and completing the application will depend on the number of family members you include in your request.

Where can I get help to fill in my registration application with UNHCR online?

If you need help signing up and filling out your online application for a registration appointment for you and your family, you can get in touch with UNHCR through the existing contact channels. Please remember that you can also submit your request for registration via an e-mail [See Registration Page ], but you will not be able to check the status of your application.

Should I add my family members to my online application to register with UNHCR?

Only immediate family members who are in Indonesia, not yet registered with UNHCR Indonesia and living with you should be included – husband or wife, and children under 18 years old. Unmarried adult children or other adults may be included if they live in the same household with you and depend on you.

Adding eligible family members ensures that documentation and access to services can be provided collectively. Please confirm that your family members consent to being part of your application and that you are authorized to share their documents during the registration process.

If you have an immediate family member already registered with UNHCR and have a UNHCR document, please only create a My Service account for yourself. UNHCR will contact you for a registration appointment, and you should come together with your registered family member.

Try to complete your application with your family members next to you. You will need to add their photos, their ID documents, and documents that say how you are related. If you do not have the documents for your family members with you, you can save your application, leave the portal and log-in again later when you have the necessary documents (please remember your email address and password to log-in again!)

Please make sure to add all your immediate family members who are currently with you in Indonesia before you submit your application. Do not include family members who are not physically present in Indonesia.

Do I need to add everyone before submitting?

Yes. You should add all family members you want to register with you before submitting your application. You cannot add more later.

What if a family member joins me later or leaves before the interview?

If someone joins or leaves after submission, you cannot update your application. Please tell UNHCR during your interview.

Can I add someone who is not here yet?

No. Only include family members who are currently with you. You can ask UNHCR during your interview how to register those who arrive later.

Do I need to upload a photo of myself and of each of my family members to the portal?

To request an appointment to register with UNHCR, you must upload or take a photo using your phone’s camera or upload an existing photo when you are asked to do this on the portal. If you do not add a photo to the application, you will not be able to submit your request. All family members being added to the application also need to have their photos uploaded.

I want to add a family member, but I do not have their documents to upload. Can I still proceed? 

We recommend that you have electronic copies of at least one identity document for any family member you want to add, as this will facilitate your registration process.

Documents that are accepted are:

  • Birth certificate
  • Birth notification
  • Death certificate
  • Death notification
  • Education certificate
  • Employment document
  • National ID card
  • National passport
  • Marriage certificate
  • Other civil registration certificate
  • Other

If you do not have any documents, you can still add your family members, but this will result in a longer registration interview with UNHCR.

I uploaded a wrong / unreadable document. Can I replace it with the correct one? 

You can only replace a document on your file using the UNHCR online My Services portal if UNHCR has not yet completed reviewing your application.

To replace a document using the online portal:

  • Sign-in and click on “My documents”,
  • Check the list of documents uploaded and click ‘delete’ next to the document you want to remove.

Can I see the information I submitted about me and my family? 

Log in to the UNHCR online My Services portal and follow these steps:

  • Click on “My Profile” and you will see an overview of the personal details you submitted for yourself.
  • Click on “My Family”, and you will see a list of all the family members you added to your application. Click on their names to see the personal details you submitted for each family member.

Can I update my information online after I submit my application? 

You can log in to the UNHCR’s online My Services portal and view your submitted information anytime. There is some information that you CAN change if your application has not yet been reviewed by UNHCR, and some information that you CANNOT change.

You CAN update your contact details for you and your family members.

You CANNOT update for you and your family members:

  • Address in your home country and Indonesia,
  • Personal information such as name, date of birth, national number, nationality, etc.
  • Photographs,
  • Add new family members,
  • Specific needs,

You can never change the e-mail address you used for signing up. If you cannot access your e-mail, you will not be able to use your account or transfer it. Please make sure that you have ways to recover your email if you forget your password, like having a recovery address or a hint for remembering your password.
