How do I submit a request to register a newborn baby through the My Services Portal?

The request must be submitted by the My Services account holder, preferably one of the parents. You must already have an active account on the My Services Portal and click on “Add a new family member” on My Family / Group section of the portal. You will be asked whether this person has already been registered with UNHCR in Indonesia or not and you will need to click “No”.

You will then be expected to provide the personal details either by providing a copy of their passport or manually entering their details.

What documents do I need to prepare before submitting the request?

Please submit a birth certificate from the hospital or any other document related to the birth of your child. You are encouraged to provide the Document Number (e.g., the number printed on the top or bottom of the birth notification or certificate) and the Document Issuance Date, if available.

Uploading a soft copy of the document is mandatory to proceed with the request. If you do not have the document yet, please request it from the place where your child was born.

How do I submit a request through My Services portal?

  1. Log in to the My Services Portal using your registered email.
  2. Go to My Family / Group.
  3. Click on “add a new family member” Fill in their personal details
  4. Fill their contact information
  5. Upload their photo.
  6. Upload their documents.
  7. Submit your request.

What if I no longer have access to my registered email?

Please submit a technical issue inquiry via the Online inquiry KOBO form and select “Online My Services Portal Technical Issue as the topic of your inquiry.

How will I know the status of my request?

Once your request is submitted, you will receive an email notification confirming that your request was successfully submitted.

You can track your scheduled appointment from UNHCR through the ‘My Appointment’ menu. You will also receive a notification via email and your other preferred communication channel listed in the Portal with the appointment details, including location, date, time, required documents, and who should attend. The appointment may be in-person or online, and you will be informed accordingly.

Can I still register my newborn baby via My Services Portal if I don’t have all the required documents?

You can request an appointment to register your newborn baby through the My Services Portal even if you do not have all the required documents. However, submitting the documents is strongly advised as part of the registration process.

Can I register more than one newborn at the same time?

Yes. If you are registering twins or multiple newborns, you can add each child separately as an individual by following the same registration process for each one. Please submit all related documents in one clear and readable photo for respective baby.

Do I need to visit the UNHCR office after submitting the request online?

You will be invited to come to the UNHCR office according to the scheduled appointment. If logistical conditions do not permit, the newborn registration will be conducted remotely. Please make sure to monitor your scheduled appointments via the My Services Portal under the ‘My Appointment’ menu.

What happens after I submit the registration request?

Your request will be reviewed by UNHCR staff. Upon verification of submitted documents and information, you will be notified of your scheduled appointment via the My Services Portal under the ‘My Appointment’ menu, as well as through email and your preferred communication channel with the appointment details.

During the appointment, please present the birth certificate and/or birth notification issued by a health facility during your appointment. Both parents and the newborn baby are required to attend.

How long does it take to process a newborn registration request?

Processing time can vary depending on the volume of requests and verification of document(s) submitted. You can check the status anytime via the My Services Portal under the ‘My Appointment’ menu, as well as through email and your preferred communication channel with the appointment details.

How can I obtain a birth certificate for my child from the Indonesian government?

Indonesian authorities may issue official Notification Letters of Important Events (Surat Keterangan Peristiwa Penting) instead of the Birth or Death Certificate to refugee children born in Indonesia. Depending on the Disdukcapil, the process for obtaining these documents may vary. It’s important to be aware of the required documents, which can differ based on rules, regulations, and local practices when visiting the Disdukcapil.
